Custom Apparel Pricing Calculator (Digital Download)

Stop guessing what to charge for shirts.

This calculator works out your real cost and your price for every job: blanks, transfers, ink, vinyl, setup, labor and overhead, at any quantity. We built it in our own family-run apparel shop and use these numbers every day.

It covers DTF, sublimation, screen printing and vinyl (HTV), plus multiple print locations, size upcharges and quantity breaks, so you can quote a 12-piece team order or a 144-piece company order with confidence.

Light or dark, your choice

You get two versions with the same features: the bright Daylight spreadsheet and a free Midnight dark mode. Use whichever is easier on your eyes. (Print customer quotes from the Daylight file.)

How it works

1. Check out. Your download link appears right after checkout and in your order confirmation email, so you can download instantly.
2. Open the .xlsx in Excel, or upload it to Google Drive and choose Open with > Google Sheets.
3. Enter your costs once on Settings, Blanks Catalog and Method Costs.
4. Price each job on the Order Calculator and send the Quote.
5. Log won jobs and watch your dashboard fill in.

FAQ

Does it work for embroidery?
It's built for DTF, sublimation, screen print and vinyl. Embroidery pricing works differently (stitch counts), so it isn't included.

Can I add my own garments and print sizes?
Yes. Add rows on Blanks Catalog and Method Costs and they show up in the dropdowns.

Are the sample costs accurate for my shop?
They're realistic examples only. Enter your own supplier and material costs.

Margin or markup?
It prices by margin (profit divided by price). The Quick-Start Guide explains the difference.
