  • Quick-Start-Guide.pdf: step-by-step setup, including the Google Forms RSVP setup

Light or dark, your choice

Two files, same features. Use the bright Daylight version during the day or the Midnight dark version at night. Print from Daylight for the cleanest paper copy.

Why this one

  • Open house drop-in food math: food and drinks per guest's average stay, not per hour, plus how many guests are there at the busiest time (sample: 80 invited, 1.5-hour stay, 32 at once)
  • Written for the parents hosting: a checklist from 4 months out with tent and table rentals, food that can stay out, the card box and guest book, an optional joint open house with another family, and thank-you notes after
  • Cards and gifts: Gift received and Thank-you sent columns on the Guest List, plus a card, gift and thank-you log printable
  • A drop-in run sheet: food stays out with refills every 30 minutes, the photo display, a short thank-you from the family and the cake
  • Cost split for up to 4 hosts: log who paid, see each fair share and who owes whom
  • Google Forms RSVP import: paste your form's replies and RSVPs, party sizes, plus-ones and dietary needs fill in. The newest reply per person counts
  • Works in Excel and free Google Sheets, with a FREE Midnight dark-mode copy and a phone-friendly Quick Log, plus 11 printables in Letter, A4 and Low-Ink, including an open house refill plan
  • Straight price, no fake sale. Made by a small family business in Ohio

For the parents hosting

  • The open house serving style plans food and drinks for each guest's average stay and shows the busiest-time headcount, so you know how many chairs and how much table space you need
  • Outdoors or a hot day? The ice doubles
  • Budget split between hosts, or two families sharing a joint open house

How it works

  1. Settings: the party type is already Graduation open house (parents hosting). Type the date, start time, length, the hosts and the open house average stay.
  2. Guest List: add guests by household. Paste your RSVP form replies on the RSVP Import tab, or update RSVPs from your phone on the Quick Log. The food math and the Dashboard update by themselves.
  3. Countdown: work through the checklist, log costs with who paid, print the run sheet, then log cards and gifts for thank-you notes.

What's in the spreadsheet (15 tabs)

  • START HERE and Settings: party-type picker (10 types), Simple or Full, date, start time, length, venue, hosts and their cost shares, food and drink options
  • Dashboard: days to go, RSVPs yes / no / pending, budget used, tasks done, the food plan, the next 6 tasks and 6 live charts
  • Quick Log (phone-first): update an RSVP or log an expense and who paid, in one row
  • Guest List & RSVP: households, age group, RSVP, plus-ones, dietary needs, meal, relationship, gift received, thank-you sent
  • RSVP Import: paste your Google Forms RSVP replies (or a CSV); RSVP, party size, plus-ones, meal and dietary needs fill in by themselves
  • Seating Export: your guest list and plus-ones in the Milestone Party Seating Planner's import format, ready to download as CSV or copy and paste
  • Food & Drink: how much food, drinks and ice for your headcount, with every rule of thumb editable and sourced
  • Shopping List: the calculator results plus decorations, rentals and supplies, with store, who is getting it and status
  • Budget: estimated vs actual by category, chosen quotes, money in, cost per guest and the co-host split
  • Vendors: quotes side by side with the lowest marked, deposits, due dates and arrival times
  • Countdown: a checklist for your party type, with due dates, owners, status and one-tap Google Calendar links
  • Day-of Run Sheet: one printable page with setup, party and teardown times, point people and vendor arrivals
  • Dues & Collection: family reunion dues per household and a retirement office gift collection (each switches on with its party type)
  • T-Shirt Orders: family reunion shirt sizes, colors and quantities, with totals

The printables (11 pages)

Party at a glance, countdown checklist, invite and RSVP tracker, food and drink quick math, shopping list, budget with co-host split, vendor quotes, day-of checklist, day-of run sheet, card, gift and thank-you log, and an open house refill plan. Each in US Letter, A4 and Low-Ink black and white.

Works with

  • Google Sheets (free), including the phone app
  • Excel 2016 or newer on Windows and Mac, Excel on the web
  • No macros, no add-ons, nothing to install

Good to know

  • Food and drink amounts are estimates from public rules of thumb (What's Cooking America, Dummies, Tasting Table, NIAAA). Check with your caterer or venue.
  • Reminders come from the Google Calendar events you save. The spreadsheet itself does not send alerts.
  • The file includes a sample party so you can see it working; START HERE lists exactly which cells to clear.
  • For the adults hosting the party: written for the parents hosting the open house.
  • After you buy, download the files from the link in your order confirmation email.
  • This is a digital download. No physical item will be shipped.
  • For personal use. Please don't share or resell the files.
